Job Description:

Responsible for delivering efficient patient access to care, including overseeing daily operations of clinic scheduling services, development of training for clinic staff responsible for supporting these services, and the fostering of professional relationships with referral sources.

Responsibilities

Safety

  • Manages processes effectively in regard to employee/patient safety.

  • Record Keeping

    • Maintains all required records, reports, statistics, logs, files and other documents as required, including but not limited to payroll, schedules and status changes.

    • Department Management

      • Maintains 24 hour accountability for department, making independent decisions to implement strategies and programs for patient focus.
      • Delegates authority and accountability to staff to ensure optimal outcomes and staff engagement.
      • Evaluates effectiveness of unit/department based programs and processes to ensure optimal outcomes.

      • Process Improvement

        • Promotes a culture of process improvement by establishing unit/department based programs that supports the system's process improvement goals.
        • Actively participates on system-wide or hospital-based teams.

        • Staffing

          • Manages the unit/department effectively in regards to staffing and staff supervision.

          • Role Specific Responsibilities

            • Manages departments responsible for responding to patient inquiries, scheduling, referral and/or insurance authorization requests.
            • Oversees general workflow and operational systems.
            • Coaches team members to provide excellent customer service in all interactions by identifying customer needs, clarifying and documenting thorough information, and providing satisfactory solutions.
            • Responds to patient complaints and resolves concerns.
            • Analyzes and improves the design of job roles, work process and interdepartmental workflows between central clinic services and physician offices.
            • Oversees development of educational and training material as needed within front office expertise to facilitate orientation, staff development and/or best practice improvements.
            • Collaborate with revenue cycle stakeholders to proactively improve the quality of scheduling services by identifying potential gaps.
            • Oversees development and implementation of educational plans supportive of general competency and recommends delivery strategies appropriate for a variety of learner needs.
            • Consolidates and analyzes weekly, monthly, and annual reports toevaluate departmental productivity and suggest improvements.
              • Communicates regularly with referring physicians and office staff, actively seeking new relationships and strengthening existing contacts.
              • Educates physicians and staff on SIH scheduling and referral protocols, processes, tools, and services constructed to advance delivery of patient care.
              • Develops and maintains meaningful relationships with providers and staff through consistent problem resolution and building of trust.
              • Build physician relationships by directly assisting physicians to navigate workflows and obtain timely follow-up information on their patients.
              • Communicate regularly with both internal and external health care providers to promote understanding of new physicians and patient care services.
              • Report to leadership on scheduling and referral trends as well as operational concerns that impact patient care.
              • Participate in workgroups and performance improvement activities related to nursing and support staff for the SIH Medical Group
                Qualifications

                Education

                • Bachelor's degree in Business or Health related field
                  Licenses and Certification

                  • N/A
                    Experience and Skills

                    • Technical Field: 3 years experience in a related field
                    • Managerial Experience: 2 years preferred
