Job Description Clerical Assistant 2 - Part Time 2:30p-10:30p
evenings. Could include alternate hours due to vacation coverage.
Approximately 20 hours a week. Purpose of Position/Summary: Nursing
Administration secretaries provide all clerical support to the
ADON---s and Nursing Supervisors, including completion of reports,
tracking data, etc. Nursing Administration secretaries coordinate
all nursing staff payroll and time records. Create/maintain daily
staff schedules for each unit. Monitors emergency systems for the
entire hospital. Handles switchboard duties from 8:00pm --- 8:00am.
Nursing Administration secretaries may be the first contact with
families, visitors and others by phone or in person for various
questions/concerns. Other tasks are completed on an as needed basis
as assigned. Essential Duties/Responsibilities: --- Answers all
incoming calls to Nursing Administration which provides essential
information regarding patients, staff and other matters. ---
Develops and maintains daily nursing schedules for review by the
supervisors that promote adequate staffing for each unit according
to target staffing. --- Obtains additional staff by calling for
voluntary overtime/mandatory overtime according to ESH policies
when staffing levels are not met due to call-ins, patient
appointments, 1:1 assignments and vacancies. --- Answers phones
promptly by department and name. --- Manages several multiple phone
lines simultaneously. --- Takes and relay messages correctly as
given. --- Records staff call-in record in the record book at the
time of the call. --- Makes announcements on the PA system as
needed. --- Calls work orders into maintenance, logging all orders
in the maintenance log. --- Assists the scheduling of interviews of
selected applicants following the direction of the ADONs. ---
Maintains on call board directory daily. --- Monitors emergency
systems for the hospital; e.g.fireboard and weather conditions. ---
Announces codes on PA system as they occur (e.g. Code Blue, Code
Red, Dr. Jack Armstrong) --- and follows through with appropriate
notifications (Sonitrol, on call physician, ambulance calls as
directed). --- Facilitates smooth operation of command post in
emergency situations at the direction of the ADONs/Nursing
Supervisors. --- Organizes the escorting of patients for medical
appointments with security and nursing staff. --- Completes 590
forms on patients as the need arises. --- Maintains office
supplies. --- Assists with scheduling inservices for nursing staff.
--- Prepares spreadsheets, typing of memo's and other duties with
minimal direction as assigned per supervisor. --- Uses technology
for charting electronic information Job Requirements: --- High
School Diploma or GED. --- Six (6) months clerical, secretarial,
word processing or related experience, or accredited college
training in a related field preferred. --- Must obtain CPR and CPI
certification, demonstrate ability to perform techniques, and
maintain certification throughout employment. --- Demonstrates
strong computer skills to use the following computer programs:
Word, Excel, and Outlook as well as other programs as needed. ---
Demonstrates good interpersonal skills, good verbal and written
communication. --- Properly uses and maintains the copier, scanner
and fax machine. --- Properly uses phone and PA system ---
Demontratres compentency in the use of the fireboard. --- Fulfills
